1) Name: Iqra University Alumni Association shall be associated as the Association of Alumni of Iqra University

2) Definition: Some important definitions are as follows:

• Alumni:Graduates who have successfully completed their degrees/diplomas from Iqra University.
• Association:is referred as Iqra University Alumni Association.
• General Body:all the members of the Association.
• Executive Body/ EB:the elected members of the Association to oversee its affairs.
• Local Chapters:the local bodies of members living in different cities of Pakistan or around the world.

3) Office: Association’s registered office which shall be located in the Iqra University, Main Campus, Karachi

4) Jurisdiction: IUAA will have jurisdiction over all the local/international chapters of Iqra University’s Alumni

5) The Aims and Objectives:

• To connect and strengthen liaison between Alumni and Alma Mater to promote mutually beneficial relationship for the welfare of the University
• To encourage Alumni’s interest in the progress and development of Alma Mater
• To bridge up the gap between Alumni and Current Students
• To enable Alumni in patronizing corporate careers of their juniors
• To provide networking opportunities to the Alumni of different Calendar years
• To encourage Alumni for sharing their professional knowledge, organize seminars, workshops, technical conferences and training conferences
• To create/run Alumni Card
• To organize Annual General body meeting/ Annual Dinner

1) Name of the Society:

The name of the society shall be Iqra University Alumni Association

2) Membership:

Entire Alumni body from all the campuses of Iqra University will be the member of the Association.

3) Bodies of the Association:

• Executive Body: There shall be a top layer of Association known as the Executive body to manage the affairs
• General Body: There shall be General body of all the members of the Association
• Local Chapters: There shall be a local chapters of the Association in different cities of Pakistan and around the world

4) Executive Body:

• Executive Body of the Association shall include:
  • Patron
  • President
  • Secretary General
  • Join/Working Secretary General (Ex-Officio HOD Alumni Affairs)
  • Vice President Memberships
  • Vice President Loyalty Cards
  • Vice President Local Chapters
  • Vice President Academics
  • Treasurer
• Executive Body shall meet every two months (Physically/Electronically), however, secretary may call an urgent meeting any time with the consent of the President
• 07 days’ notice shall be given to the members for EB for convening a meeting
• All the elected office bearers shall hold office for 2 years
• The Executive body shall have all the powers for the management and promotion of the objectives of the Association
• Association’s affair shall be managed by the majority voting in EB, in case of tie President shall cast his/her vote

5) General Body:

• General body shall represent all the members of the Association
• General body meeting shall be at least once a year
• No more than fourteen months shall elapse between 2 annual General Body Meetings
• 14 days’ notice shall be given to the members for convening General Body meeting
• General body shall elect Executive Body through afore mentioned Election Procedure

6) Local Chapters:

• Association will govern the local chapters with Rules and by-laws of the Association
• Local chapter shall be recognized by the Parent Association of any city/country if it will have at least 15 members registered
• Jurisdiction of Local Chapters shall be defined by the Association from time to time
• Local chapters shall host activities to promote the objectives of the Association under their jurisdiction

7) Roles & Responsibilities:

• Patron (Ex-Officio Vice Chancellor/ Registrar): Patron of the Iqra University Alumni Association shall be Ex-Officio Vice Chancellor/ Registrar of the University; he/she shall preside over Association on whole
• President: President shall preside over Executive Body and General Body meetings, he/she shall have all the powers for the management and promotion of the objectives of the Association
• Secretary General: He/she shall be responsible for:
  • Maintenance of all the records of the association
  • Driving all the communication, preparation & disbursement of all the publications for/of the Association
  • Financial matters of Association
  • Presenting amendments in the general body meetings
  • Designing and managing different seminars for current students
• Joint Secretary General (Ex-Officio HOD Alumni Affairs): Joint Secretary shall equally share all the responsibilities of Secretary General and act as SG in his/her absence
• Vice President Memberships: shall be responsible to enhance value (Discount offers) of the Alumni loyalty cards, he/she shall be assisted by officials of Alumni Affairs
• Vice President Loyalty Cards: shall be responsible to maintain & manage Members Directory and Issuance of Membership Cards, he/she shall be assisted by officials of Alumni Affairs
• Vice President Local Chapters: shall be responsible to keep track of the activities by the local chapters of the Association in different cities of Pakistan and around the world
• Vice President Academics: shall be responsible to devise committees to contribute in University’s curriculum of different program
• Treasurer: shall be responsible to keep the books of accounts, shall collect all dues & claims for Association, and shall liaise with Auditors

8) Election Procedure and rules:

• Executive committee shall be elected amongst the General body
• Executive committee shall be elected by the General body
• HOD Alumni affairs shall the interim head the association
• Jurisdiction of elected office bearers shall be defined through the by-laws of the Association
• Election process would be conducted by Election committee, that would include following:
  • Chief Election Commissioner – nominated by the Patron
  • (2) Senior most Alumni – nominated by the Patron
  • (2) Senior Professors – nominated by the Patron
  • Ex-officio HOD Alumni Affairs
  • Ex- officio team Alumni Affairs, Iqra University
• No elected office bearer should be allowed to contest two consecutive elections, exceptional circumstances shall be allowed on the approval of Patron
• In eventuality of any seat being vacant, Executive Body shall nominate members to fill the vacancy by the Patrons approval

9) Procedure to introduce Amendments:

Amendments can be introduced in the current constitution through the following framework:

• Member of EB shall propose an amendment in Executive Body’s meeting
• EB shall pass the amendment with simple majority vote which in any case should not be less than 1/3 of the total number, in case of tie, President shall have the casting vote
• Amendment shall be presented to the patron for his approval to present it to the general body
• General body shall give the vote of confidence and pass the resolution by 60% vote
• Secretary General shall communicate the amendmentsto the entire General Body,30 days before its effect

10) Finance, Accounts and Audit:

• Association shall raise funds for the promotion of its objectives through following:
  • Subscriptions form of Alumni Association
  • Donation by members
  • Donation by Iqra University
  • Any other Source approved by Executive committee
• Bank accounts of Alumni Association shall be maintained in any Bank in Karachi
• Secretary General and Joint Secretary General shall deal with the financial matters of the Association
• Treasurer of the Association shall assist President and Secretary General in all the financial matters
• The funds of the Association shall be invested in financial instruments after the approval of Patron
• Association’s financial year shall be from January 1 to December 31
• All the accounts of the Association shall be audited annually by the CFO of Iqra University
• Executive committee may appoint a Chartered Accountant to audit the accounts, if required

11) Winding up of Association:

The winding up of the Association shall be carried out by the Patron of the Society, if required.

1) All graduates of the IU of three years’ standing and upward shall automatically take part in the Online Alumni Election

2) A graduate shall not be allowed to file his/her nomination or propose a candidate if (a) he/she is declared bankrupt, or (b) he /she is convicted of any offence involving moral turpitude

Steps for Participating in Election

You can become part of the Online Election by taking the following steps:
• 1) Visit the IU Alumni Portal
• 2) Check your name in the Voters’ List present on IU Alumni Portal.
• 3) Login to the Alumni Portal by inserting your user id and password
• 4) In case, you have forgotten your password, you can retrieve your password by clicking the Forgot Password button in the Login Area or by visiting (www.alumni.iqra.edu.pk)
• 5) Once you are logged in, an interface would appear showcasing various buttons. Choose Online Elections from the menu
• 6) The various steps involved in the Online Election can be found in the individual tabs present on the top bar of the Election portal
• 7) If you have up-to-date login details of your Alumni profile, you would be able to participate in the Alumni Online Elections 2016

Alumni Association members who are interested in being elected to Alumni Council in the 2016 election can visit Alumni Portal(Please note that an individual interested in being a candidate for Alumni Council may either be self-nominated or be nominated by a third party)

Each nomination form should be complete and forwarded via email to the Volunteer Services team of the Alumni Association

Nomination forms that are not completed in full by a nominee prior to the deadline will not be eligible to be considered by the Nominating Committee

All candidates will be notified, whether or not such individuals have been selected by the Nominating Committee to stand for Election

For those individuals selected to stand for election, the Alumni Association staff will work with each candidate to procure biographical information, photos, and position statements for use on the election

If Alumni are interested in applying for a position, they should carefully review the process to adhere to the expected responsibilities. Following is the process of nomination.

File Nomination:

• Click on the “File Nomination�? button, a form will appear which automatically fetches his/her data from the Alumni database and additionally requires him/her to answer questions related to his/her Manifesto, Achievements, Bankruptcy and Criminal conviction
• The candidate will be notified of his/her application as nominee in the Activity History section

Accept Proposals:

• You will receive a notification requesting you to Accept Proposals
• Once you click on the Accept Proposals, Nomination form will appear
• The candidate will be notified of his/her application as nominee in the Activity History section

General Guidelines

• Once a user files his/her nomination, he/she cannot propose the nomination of another candidate
• The applicant can withdraw nomination at any point during this stage. However, once the nomination is withdrawn, it cannot be revoked
• Withdrawal of Nomination allows the user to then propose nomination of another candidate, he/she deems appropriate for the post

• How long and on what basis, the person writing the letter has known the nominee
• The nominee’s previous involvement with Iqra University as a student and as an alumnus
• Previous volunteer activity by the nominee on the behalf of the University and the Alumni Association
• Why the recommender believes the nominee should be a member of the Alumni Association
• Once a user proposes a candidate, he/she cannot file own nomination
• Once submitted, you would not be able to withdraw your proposal
• In order to access the nomination form, alumni must have an id and password
• In case you do not find your name in the list, then unfortunately, you would not be able to take part in Election

Through voting you can reconnect with old friends, classmates and reminisce about the days you walked the campus as a student. If you have not returned to the campus, it is truly a must see. The positive changes and growth are remarkable.

Through voting process you can select the best candidate for the position; it cannot just helpIU for its major decision-making, but to you, as an alumnus, to ensure that you are correctly represented. Your vote can help make a difference to your alma mater, so actively participate in this year’s election, and choose a candidate you deem worthy of the position.

• The election will be through online voting
• The election shall be held on the system of simple majority vote
• Every voter shall be entitled to cast only one vote
